Why did Etsy refund a misdelivered USPS order from my funds after no case response?

I sell physical items on Etsy and recently had a buyer report a USPS misdelivery. The order shipped on time, and the tracking shows it was delivered to the address on the order, so the buyer and I agreed to open an Etsy case so Purchase Protection could handle the refund.

I answered the buyer through messages, but I didn’t add an update inside the official case log within the timeframe, assuming the tracking information would be enough. Etsy closed the case and refunded the buyer using my shop funds.

Why would Etsy charge the refund to the seller in this situation, and is there a way to appeal or get reimbursed if I met the Purchase Protection requirements?

Hi! The most common reason Etsy ends up refunding a “delivered” USPS order from your shop funds is that the case was decided as not eligible for Etsy Purchase Protection at the moment Etsy reviewed it—and “no response in the case log when Etsy asks for info (or within the case’s required timeframe)” can be enough for Etsy to close it and issue a seller-funded refund, even if you messaged the buyer separately.

A few specific things that can trigger a seller-funded refund in this exact scenario:

  • You didn’t respond inside the case log when Etsy required it. Etsy treats the case log as the official record. If Etsy requests anything (even something simple) and you don’t add it to the case log in time, they can resolve the case and recoup the funds from your Etsy Payments account.
  • The order didn’t meet one of the Purchase Protection requirements (even if it feels like it did). Common “gotchas” include:
    • Tracking wasn’t added/recognized on the order correctly, or it was added late.
    • The “ship by” / processing-time requirement wasn’t met in Etsy’s system (for example, a label was created on time but acceptance scan happened later—Etsy sometimes evaluates based on what their system can verify).
    • The address issue: the label/tracking must match the address on the Etsy order receipt (not a corrected address sent in messages).
    • Order total over Etsy’s coverage cap (Etsy may cover up to their limit and charge you the remainder, or treat the whole thing differently depending on eligibility).
  • “Delivered” scans don’t always equal “received by buyer.” A misdelivery claim can still be treated as “not received,” and Etsy may still refund the buyer. When the order qualifies, Etsy should typically cover it—but if they decide it doesn’t qualify (or you didn’t participate in the case log), it can become seller-funded.

Can you appeal / get reimbursed?

Yes—sometimes. Your best shot is to ask Etsy to review the case outcome and apply Etsy Purchase Protection retroactively if you truly met the requirements.

What to do (keep it simple and factual):

  1. Go to the closed case and see if there’s any option to request a review/reopen (options vary).
  2. If not, contact Etsy Support and ask for a manual review for Purchase Protection reimbursement.
  3. Provide only the essentials (don’t overwhelm them):
    • Case number
    • Order number
    • Tracking number
    • Proof it shipped on time (shipping label receipt / acceptance scan if you have it)
    • Confirmation the shipment address matches the Etsy order receipt
    • A short note explaining you replied in Messages but didn’t realize Etsy needed the response in the case log, and you’re requesting reimbursement under Purchase Protection.

If Etsy replies that it was “not eligible,” ask them (politely) to tell you which requirement was not met—that wording often gets you a clearer answer you can act on.

For next time (to avoid this happening again)

Even if tracking shows delivered, always add a quick update inside the case log before the deadline, like: “Tracking shows Delivered to the address on the Etsy order. Tracking #: _____. Shipped on: ____.” That one step alone prevents a lot of seller-funded auto-refunds.

If you want, paste (1) the reason Etsy showed in the case resolution message (word-for-word) and (2) whether you bought the label on Etsy or elsewhere, and I can tell you what likely made Etsy mark it ineligible and what to emphasize in your appeal.
