How do I complete an Etsy custom digital order if the buyer hasn’t downloaded it?

I sell custom digital artwork on Etsy, and I recently completed a made-to-order design for a buyer. Since it’s a custom digital file, I delivered it by sending a download link in Etsy messages, but the buyer hasn’t opened the message or downloaded anything yet.

Do I mark the order as complete/shipped now, or should I wait until the buyer confirms they received and approved the files? If they don’t respond, what’s the best way to handle delivery and avoid issues later?

In most cases you should mark the order complete as soon as you’ve delivered the final files (by the order’s due/ship-by date)—you don’t need to wait for the buyer to download or confirm, because some buyers simply don’t respond for days (or ever). The key is to make sure delivery is done in a way Etsy can recognize, not only via an outside download link.

If this is a made-to-order digital listing, the safest workflow is:

  • Go to the order → Complete orderupload the finished file(s) there (this is Etsy’s built-in delivery for custom digital files).
  • Add a short note like “Your final files are attached to this order. Download from Purchases & Reviews → Download files.”

That way, Etsy records that you delivered the digital item, the buyer gets Etsy’s notification, and the files also show up in their Purchases area.

If you need approval before releasing finals, do this instead:

  • Send a proof (watermarked/low-res) in Etsy Messages first and ask for approval + revision notes by a specific date.
