How do I help Etsy digital download buyers who say they never got the email?

I sell digital downloads on Etsy, and I regularly get messages from customers saying they never received the download email. I usually reply with Etsy’s help link for finding and downloading digital files, but many of these buyers checked out as guests and seem confused about where their files are.

Is there a better way to handle guest checkout digital orders—either with clearer instructions in my listings/auto-replies or a smoother support process—so customers can access their downloads without so many back-and-forth messages?

Hi! The easiest way to cut down the back-and-forth is to stop focusing on the “download email” and instead give buyers a quick, step-by-step path for (1) guest checkout and (2) Etsy account checkout, plus a reminder that digital downloads usually won’t show up inside the Etsy app—they need a web browser (phone browser or computer).

Here’s a smoother support process (and wording) that works well for guest digital orders:

1) Use one saved reply you can paste (covers 95% of cases)
You can save this as an Etsy “saved reply” and send it immediately:

  • If you checked out with an Etsy account: On a computer or your phone’s web browser (Safari/Chrome), sign in to Etsy → go to Purchases & Reviews → find this order → click Download files. (Digital files often don’t download from the Etsy app.)
  • If you checked out as a guest: Etsy doesn’t put the download in the app for guests—your files are accessed from the receipt email Etsy sent right after purchase. Please search your inbox (and Spam/Junk/Promotions) for an Etsy receipt (often from an @etsy.com address) and open the order receipt to find the download link.
  • Still stuck? Tell me what device you’re on (iPhone/Android/computer) and whether you checked out as a guest or signed in, and I’ll guide you to the exact spot.

That message does two big things: it sets expectations (“Etsy delivers it”) and it gives guest buyers a clear “receipt email” path without you needing to diagnose their inbox for 10 messages.

2) Add “READ THIS FIRST” instructions as one of the downloadable files
A surprisingly effective trick: upload a 1-page PDF as the first file in the Etsy listing called something like:

  • “START HERE – How to Download (Etsy Instructions)”
  • “Download Help (Guest + App Tips)”

Inside that PDF, keep it super short:

  • “Use a web browser (not the Etsy app)”
  • “Account buyers: Purchases & Reviews → Download files”
  • “Guest buyers: download link is in Etsy receipt email”

Even if they’re confused, many buyers will open the first file they see.

3) Put the download instructions where buyers actually look
Most buyers don’t read long descriptions, so place your “how to download” note in two places:

  • One of your listing photos (a simple image that says “Instant download—access via web browser. Guest orders download from Etsy receipt email.”)
  • The very first 2 lines of your listing description (short, bold-ish wording)

4) When it’s truly a guest-email problem, don’t fight it—offer one quick fallback
Sometimes the buyer used a different email at checkout (Apple Pay/PayPal can do this), mistyped it, or their provider filtered Etsy’s emails. If they’ve checked Spam/Promotions and still can’t find the receipt, the fastest low-friction options are:

  • Ask them to try creating/signing into an Etsy account using the same email they used at checkout (this often helps them see the order/downloads), or
  • As a one-time courtesy, attach the file(s) in an Etsy message (if your file sizes allow), so you can close the loop quickly.

5) Prevent confusion with one sentence that reduces “missing email” tickets
In your listing (and/or auto-reply), add something like:
“Downloads are provided by Etsy (not a separate email from me). If you checked out as a guest, your download link is in your Etsy receipt email; if you have an account, download from Purchases & Reviews using a web browser.”

If you want, paste your current auto-reply and I’ll rewrite it into a shorter “guest-friendly” version you can use as a saved reply (and a version sized to fit on a listing image).
