Why does Etsy show “payment not completed” after my first order?

I just got my first Etsy order, and the buyer’s checkout shows the payment went through and is confirmed. In my Shop Manager, the same order still shows “payment not completed.”

I’m selling a print-on-demand book, so I won’t be shipping it myself, but I need to know whether I should start production or wait.

What usually causes this status on Etsy, and what steps should I take before fulfilling the order?

Hi! Don’t start production yet—on Etsy, “payment not completed” means Etsy hasn’t successfully cleared/processed the payment on their side, even if the buyer’s checkout screen looked confirmed. If you fulfill a POD book before Etsy marks it as paid/processed, you can end up eating the cost if the charge fails or gets canceled.

What usually causes “payment not completed”

  • Payment is still processing/reviewing (Etsy sometimes reviews a transaction for risk/fraud or verifies the payment method—this is common with brand‑new buyers and sometimes with a shop’s first orders).
  • Card/PayPal authorization vs. capture (the buyer may see a hold/authorization and assume it’s paid, but Etsy hasn’t captured it successfully yet).
  • Bank/payment method delays (some payment methods take longer, or the bank declines it after the initial step).
  • Checkout didn’t fully finish (rare, but sometimes the buyer sees a “success” screen and Etsy still shows it as incomplete).
  • Not the same as a reserve: a payment reserve affects when you receive funds, but it typically doesn’t show the order as “payment not completed.” This status is about the payment not being finalized.

What to do before fulfilling (especially with print-on-demand)

  1. Wait for Etsy to mark it as paid/processed. In Shop Manager, you want it to move to a normal paid state (and you should be able to complete/mark the order as dispatched when it’s ready). If it still says “payment not completed,” treat it as not safe to produce.
  2. Check for an Etsy email/notification about processing. Etsy often sends a note telling you the order is processing and not to ship yet.
  3. Look at the order details + Payment account. If the payment truly cleared, you’ll typically see the order reflected appropriately in your finances/payment activity. If it’s missing or flagged as not completed, hold.
  4. Message the buyer (briefly) and set expectations. Something like: “Thanks so much for your order! Etsy is still processing the payment on my end, so I’m unable to start production until it clears. If it doesn’t update soon, Etsy Support can help on your side.”
  5. If you use a POD integration, pause/hold the fulfillment. Make sure it won’t auto-send to production. If you place POD orders manually, just don’t submit it yet.
  6. If it doesn’t resolve after a bit, contact Etsy Support from the seller side. Payments sometimes clear quickly, but if it’s stuck (or you see it move to canceled/not paid), Etsy is the only one who can resolve the payment state.

Rule of thumb: Only produce/fulfill when Etsy shows the order as paid/processing complete in Shop Manager—never based on what the buyer sees. If you tell me what it says exactly on the order page (e.g., “payment processing” vs “not paid” vs “payment not completed”), I can tell you which scenario it most likely is and what to watch for next.
