Why does Etsy show “payment not completed” when the buyer says it’s confirmed?

I just got my first Etsy order for a print-on-demand book, and the buyer says their payment went through and looks confirmed on their side.

In my Shop Manager, the order is showing as “payment not completed.” I’m not sure if I need to verify something in my payment settings or just wait for Etsy to finish processing. What should I do before I move the order forward with my print provider?

Hi! Don’t send this to your print-on-demand provider yet—if your Shop Manager says “payment not completed,” Etsy hasn’t actually cleared/settled the order on the seller side, even if the buyer’s bank/app is showing something that looks like a successful charge.

Here’s what’s usually going on (and what to do):

1) It’s often just Etsy payment processing / screening
Sometimes Etsy reviews an order for verification/fraud prevention, and during that window the buyer may see a pending/authorized charge while you see “payment not completed.” In many cases it flips to paid on its own, or Etsy cancels it if it can’t be completed.

2) Check these 3 places before you fulfill

  • Order details page: Look for any note/badge that indicates processing, pending, or that it’s not eligible to ship yet.
  • Finances → Payment account: Confirm the sale actually appears as a completed payment (not just an order record).
  • Your Shop Manager dashboard/email: Etsy sometimes places a banner or sends an email if you need to verify seller info/banking details to receive funds.

3) Message the buyer (briefly) and set expectations
Something like: “Thanks! Etsy is still showing the payment as not completed on my end, so I can’t send it to production until Etsy marks it paid. If Etsy needs anything, they’ll usually prompt you at checkout or by email.”

4) Important “don’ts”

  • Don’t accept payment off Etsy to “fix it.” That’s risky and can violate Etsy policies.
  • Don’t mark the Etsy order complete and don’t upload it to your POD system until Etsy shows it as paid/processing complete.

5) If it doesn’t clear soon
If it stays “payment not completed” for an unusually long time (or the order disappears), it’s typically a failed/blocked payment and the buyer will need to retry checkout or contact Etsy Support from their side. If you see any prompts in your payment settings/billing, complete those, then recheck the order.
