How do I complete an Etsy custom digital order if the buyer hasn’t downloaded files yet?

I sell custom mandala artwork and recently received a made-to-order digital commission on Etsy. I finished the design and sent the download link to the buyer through Etsy messages, but they haven’t opened the message or downloaded the files yet.

Because it’s a custom digital piece, I listed it in a way that requires marking it as a physical order, even though the description clearly says it’s a digital download. Should I go ahead and mark the order as completed/shipped once I’ve delivered the files, or should I wait until the buyer confirms they’re happy with the artwork and file quality?

In your situation, don’t wait for the buyer to “confirm they’re happy” before you complete the order—complete it based on the delivery you promised in the listing (your processing time), since Etsy still expects you to finish the order on time even if the buyer hasn’t opened messages or downloaded yet.

Because it’s set up as a physical order, the cleanest way is usually:

  • Send the final files in Etsy Messages (which you’ve done), and send one short follow-up like: “Just finished your custom mandala—files are attached/linked here. If you’d like any tweaks, reply within X days.”
  • Mark the order as completed by the ship-by date (so it doesn’t go overdue). When you complete it, add a Note to buyer that clearly states it was delivered digitally and include the date (e.g., “Digital files delivered via Etsy Messages on April 18, 2026”). If Etsy forces a carrier/tracking field, use the most honest option available (often “Other” / no tracking) and don’t invent tracking.

A couple important things to know (so you’re protected and expectations are clear):

  • A buyer not downloading doesn’t mean you haven’t delivered—lots of buyers don’t check Etsy messages right away.
