How do I explain Priority shipping on Etsy for last-minute made-to-order orders?

I sell custom, made-to-order birthday items, and I often get messages from buyers who are ordering close to their event date asking if an order placed today will arrive by a specific day. I’m willing to rush production when possible, but I usually tell them they should choose Priority (or a faster shipping option) at checkout to have the best chance of on-time delivery.

Even after I say that, many buyers reply asking how to select Priority shipping or what it costs. What’s the best way to respond to these messages, and how can I make my shipping upgrade instructions clearer so buyers understand their options before ordering?

Hi! The easiest way to handle this (without promising something Etsy/USPS might not deliver) is to separate production time from shipping speed and then give buyers a super clear “here’s how to pick the upgrade at checkout” script—plus a quick note that the price shows automatically based on their address.

Here’s a message you can copy/paste and tweak:

“Thanks for reaching out! I can usually rush production if my schedule allows—just tell me the event date and the ZIP code it’s shipping to.
For the best chance of on-time delivery, please choose a faster shipping option at checkout (Priority/Express if available). On Etsy, the shipping upgrade is selected during checkout and the exact cost shows there based on your address.

How to select Priority: add the item to your cart → go to Checkout → under Shipping / Delivery options tap the shipping method (it may be a dropdown) → choose Priority (or the fastest option shown) → you’ll see the price before you pay.

Quick note: I can guarantee the ship-out date if we agree on a rush, but carriers don’t guarantee delivery dates.”

If buyers keep asking “what does it cost?”, add this line:

  • “Because Etsy calculates shipping by address/quantity, I can’t see your exact upgrade cost from my side—checkout will show it instantly before you place the order.”

To make it clearer before they message you, these usually help a lot:

1) Add a “Need it by?” callout in 3 places

  • First listing photo (simple graphic): “Need it by [date]? Message me BEFORE ordering. Shipping upgrades are chosen at checkout.”
  • First 2 lines of the Etsy listing description.
  • Shop FAQ (or a short Shop Announcement) with the same wording.

2) Rename your shipping upgrades so they’re obvious
Instead of just “Priority,” use something like:

  • “Priority (faster shipping transit)”
  • “Express (fastest option, if available)”
It reduces confusion that “Priority” is a production rush (it isn’t).

3) Offer a separate “Rush production” add-on (optional)
A lot of buyers assume Priority = you make it faster. If you’re willing to rush making the item, consider a clear upgrade that’s production only (e.g., “Rush processing (moves ahead in my queue)”) and keep shipping upgrades separate. That way they choose both when needed.

If you tell me what country you ship from (US?) and whether you use calculated shipping or fixed-price shipping, I can suggest the cleanest way to set up the upgrade names/prices so the Priority option shows consistently at checkout.
