How do I handle a 1-star Etsy review for a damaged item with no buyer message?

I run a newer Etsy shop selling 3D-printed items, and I recently received my first 1-star review on a lamp with a glass block and a 3D-printed base. The buyer didn’t contact me before leaving the review, and the order was delivered weeks ago.

I messaged the buyer right away to ask what went wrong and requested photos so I can offer a replacement, refund, or another fix, but I haven’t heard back yet.

If the buyer doesn’t respond, when should I reply publicly to the review, and what’s the best way to word a response that protects my shop while still sounding professional and helpful?

Hi! You’re doing the right thing by messaging the buyer privately first—on Etsy, once you post a public response to a review, the buyer typically can’t edit that review anymore, so it’s usually smart to wait a bit if there’s any chance they’ll reply and let you make it right.

If the buyer doesn’t respond, a good rule of thumb is:

  • Wait ~5–7 days after your first message (and send one polite follow-up around day 3–5).
  • If there’s still no reply, go ahead and post a short public response so future shoppers see you’re attentive and solution-focused.

That timing balances two things: giving the buyer a fair chance to respond, and not leaving a 1-star review “hanging” with no visible seller support for too long.

Here’s a professional, shop-protective public response you can copy/paste (keep it calm and short):

Option A (simple + helpful):
“Thank you for your feedback—I'm really sorry to hear your lamp arrived damaged. I sent you a message to request photos so I can help right away with a replacement or refund. Please reply to my Etsy message anytime and I’ll get this resolved for you.”

Option B (adds reassurance for future buyers):
“I’m sorry to hear this arrived damaged. I’ve reached out via Etsy Messages to request photos so I can offer the best solution (replacement or refund). If you reply to my message, I’ll take care of this as quickly as possible.”

A few quick tips to keep your response working for you:

  • Don’t mention that the buyer didn’t contact you first (even if true). It can read defensive.
  • Don’t ask them to change the review (even indirectly). Just focus on resolution.
  • Don’t include order details, dates, or anything identifying. Keep it general and polite.
  • If the review includes something that clearly violates Etsy’s review rules (hate speech, threats, extortion, personal info, etc.), report it—but “item arrived damaged” by itself usually won’t qualify for removal.

If you want, paste the exact text of the review here (without any personal info) and I’ll tailor a reply that matches your brand voice and the specifics (glass block + 3D-printed base) without sounding stiff.
