Should I refund an Etsy order for a damaged item reported a month later?

I sell physical items on Etsy, and a buyer contacted me about a month after delivery saying their order arrived broken. They sent photos, and the damage looks real, but it’s unclear whether it happened during shipping or after they received it. The item also seems like it could be repaired.

My shop policies allow returns or exchanges within 14 days of delivery, but I don’t have a specific policy section for items reported as damaged after delivery. What’s the best way to handle a damage claim reported this late, and what typically happens if the buyer opens an Etsy case within Etsy’s buyer protection window?

Hi! If the buyer is reaching out about a month after delivery, I’d treat this as a “customer service + risk management” decision more than a strict returns-policy issue: reply promptly, acknowledge the damage, and offer a reasonable fix (repair, replacement/parts, or a return-for-refund) — but keep the remedy tied to what you can verify (photos, packaging condition, etc.) and to whether they’re still inside Etsy’s case window.

A good way to handle it (without automatically jumping to a full refund)

  • Respond within 48 hours and keep everything in Etsy Messages (“Help with order” messages matter for case outcomes).
  • Ask for 2–3 specific photos: (1) damage close-up, (2) the item from a bit farther back, (3) the box + padding and any crush/impact marks. This helps you judge “shipping damage vs. after delivery.”
  • Offer options that match the situation:
    • If it’s repairable: offer a repair (buyer ships it back; you repair and return) or ship replacement parts / provide repair instructions if that works for your product.
    • If it likely happened in transit: offer a replacement (often the smoothest), or a return for refund (refund after it’s returned).
    • If they want to keep it: consider a partial refund only if you’re comfortable with that and it genuinely reflects the reduced value.
  • Be clear and polite about timing: you can say your standard returns/exchanges are 14 days, but you’re still willing to help with a damage situation and want to find the fairest resolution.

What usually happens if they open an Etsy case this late

  • As of Etsy’s current case rules, buyers generally have 30 days after the order’s estimated delivery date to open a case (and they must message you first and wait 48 hours). So whether they can open a case “a month after delivery” depends on the estimated delivery date shown on the order, not just the delivered date.
  • If a case is opened and the order qualifies for Etsy Purchase Protection, Etsy may refund the buyer. For sellers, Etsy can cover refunds up to $250; if the order total is higher than that, the amount above the coverage can be charged to the seller. Also, eligibility isn’t just “has tracking”—it’s tied to things like on-time shipping, valid tracking/label, using Etsy Payments, and meeting Etsy’s customer service expectations (including timely responses).
  • If Etsy decides the order isn’t eligible under Purchase Protection, they can still resolve the case by requiring/issuing a refund that comes out of the seller’s funds.

My practical recommendation
If they’re still within the case window, it’s usually worth offering a straightforward resolution now (replacement, repair, or return-for-refund) to prevent a case from escalating. If they’re outside the case window, you can still help—but you can also hold your boundary and offer a “best-effort” solution (like repair/parts) rather than an automatic full refund.

If you tell me (1) the item price, (2) whether you used an Etsy label/valid tracking, and (3) what the order’s estimated delivery date was, I can suggest the lowest-risk option for your exact scenario.
