How do I help Etsy digital download buyers who say they never received the email?

I sell digital downloads on Etsy, and I regularly get messages from buyers saying they never received the download email. I’ve noticed this happens often with guest checkouts, where the customer seems unsure how to access their files after purchase.

Right now, I reply with a saved message linking to Etsy’s download instructions, but it still creates confusion and delays. What’s the best way to handle these requests—should I be sending the file manually, changing my listing instructions, or adjusting my shop policies to reduce “missing email” complaints?

Hi! This is super common with Etsy digital downloads—most of the time nothing is “missing,” the buyer just expects an attachment email, but Etsy usually delivers access through the order receipt/download page (and guest checkout emails can get filtered). The best fix is to make access instructions impossible to miss and use a fast, step-by-step saved reply, and only send files manually as a last resort.

Here’s what works best in practice:

1) Don’t lead with “I’ll email it” — lead with “Here’s where Etsy puts it”
Buyers often think they’re waiting on you. Your goal is to redirect them to the correct place immediately:

  • If they checked out with an Etsy account: they download from Purchases & reviews (not from a separate “download email”).
  • If they checked out as a guest: they download from the receipt email Etsy sends (and it’s often in Spam/Promotions/Social tabs).

Also worth mentioning in your reply: downloads aren’t available until payment clears (this comes up with eChecks or pending payments).

2) Upgrade your saved reply (make it “copy/paste + questions” rather than just a link)
Instead of linking to instructions only, ask 1–2 quick “diagnostic” questions and give the two most likely paths. For example, you can use something like:

  • “Did you check out with an Etsy account or as a guest?”
  • “If guest: can you search your inbox for ‘Etsy receipt’ and check Spam/Promotions?”

Then give short steps for both scenarios. This reduces back-and-forth and makes you look on top of it.

3) Put access instructions in 3 places (this is what reduces messages the most)
You’ll still get some “missing email” messages, but you can cut them down a lot by repeating the same simple instructions here:

  • First listing photo (or second): a quick graphic that says “Digital download — no physical item — access after purchase in Purchases/receipt email.”
  • First 2 lines of listing description: keep it short and scannable (most people don’t read the rest).
  • Message to buyers / receipt note: add a mini “How to download” note that appears on the order confirmation/receipt.

4) Only send files manually when it’s truly stuck (and even then, be careful)
Manually sending the file can be helpful if:

  • the buyer can’t locate the receipt email after trying Spam/Promotions, and
  • they confirm they may have checked out as a guest or used a different email, and
  • the order shows as paid/complete on your end.

But I’d avoid making manual sending your default, because it:

  • trains buyers to message you instead of downloading normally,
  • can create version-control issues (wrong file / old file),
  • isn’t as scalable.

If you do send manually, keep it framed like: “Happy to help—here are the download steps; if that still doesn’t work, I can send it here.”

5) Add an FAQ + set expectations in your shop policies (light touch)
You don’t need heavy policy language—just a clear FAQ-style note like:

  • “Etsy digital files are accessed through your Etsy account Purchases page or your guest receipt email (not a separate attachment from the seller).”
  • “If you don’t see it, check Spam/Promotions and confirm payment has completed.”

If you want, paste your current saved message here and I’ll rewrite it into a tighter “2-path” response (account vs guest) that usually resolves these in one reply.
