How do I mark an Etsy digital art adopt order as completed and deliver the file?

I sell digital character “adopts” (a one-time purchase where the buyer receives the unwatermarked artwork and usage rights). I’m getting orders, but I can’t find the correct way to deliver the digital file and mark the order as complete in Etsy.

My listing may be set up incorrectly because the order doesn’t show an obvious “complete” or “upload file” option on my end. What’s the right way to set up and fulfill a digital adopt listing on Etsy so the buyer receives the file and the order is properly completed?

Hi! On Etsy there are two different “digital” flows, and which one you picked is why you’re not seeing an obvious “upload file / complete order” button.

If your listing is an instant download (pre-made digital file), Etsy considers the order fulfilled automatically as soon as payment clears—there’s usually no manual “complete” step, and you can’t upload a different unwatermarked file per buyer. For one‑of‑a‑kind character adopts, you usually want the other option: a made‑to‑order digital listing, where you upload the buyer’s final file when you’re done and then complete the order.

Set up your adopt listing the “right” way (made‑to‑order digital)

  1. Edit (or recreate) the Etsy listing and make sure:
    • Type: Digital item / Digital files (not Physical)
    • When did you make it?: choose Made to order (this is the key setting that creates the “you’ll upload later” workflow)
  2. Quantity: set to 1 (since an adopt is one-time).
  3. Renewal: use manual renewal (so it doesn’t accidentally relist after selling, if that’s your preference).
  4. Add what you need for the adopt in the listing itself:
    • A clear description of what they receive (unwatermarked file formats, size, etc.)

  1. Go to Shop Manager → Orders & Shipping.
  2. Open the order (it should be sitting in “New” until you finish it).
  3. Click Complete order.
  4. Choose This order doesn’t have tracking (reason: digital item).
  5. Look for the file upload / add files area during the completion step, upload the final unwatermarked files, and submit to complete.

Once you do that, Etsy sends the buyer a notification and the files are delivered through Etsy’s digital download system (so you’re covered for “delivery” on-platform).

If you’re not seeing upload/complete options, it’s usually one of these

  • The listing is set as a Physical item (then Etsy expects shipping instead of file delivery).
  • The listing is an instant download (then Etsy expects the file to already be attached to the listing, and the order won’t behave like a “needs completion” order).
  • You’re in the mobile app and the UI is being unhelpful—try in a desktop browser.

Two quick “gotchas” to avoid buyer confusion

  • Etsy buyers often can’t download digital files from the Etsy app reliably. Add a line in your message/description like: “Download from Etsy in a browser (desktop or mobile browser), not the app.”
  • Etsy has file limits (number of files and max size per file), so if your PSD is huge, you may need to ZIP it, split files, or export PNG/JPG versions that fit.
