I’m a new Etsy seller using a print-on-demand provider that can produce and ship orders from different facilities depending on the buyer’s location (US, UK, and EU).

When I create a listing, Etsy asks for the country the item is dispatched from. I’m not sure what the correct approach is when the dispatch country changes by order, and I’m worried about choosing the wrong location and causing issues with taxes/VAT or shop compliance.

What’s the best practice for handling the “dispatched from” setting in this situation—should I create separate listings/shipping profiles by region, or is there a compliant way to use one dispatch country while still fulfilling locally?

The safest (and most “Etsy-compliant”) way to handle this is to make sure the “dispatched from” country matches where the order will actually ship from, because that origin affects estimated delivery dates and can affect import/VAT expectations for the buyer. If your POD can route orders between US/UK/EU locations, Etsy’s own guidance is basically: if you dispatch from multiple locations, create a delivery (shipping) profile and a listing for each dispatch location—so you’re not stuck picking one origin that’s wrong part of the time.

If you can control (or reliably predict) which facility will fulfill the order, here’s the best practice:

  • Create separate listing copies by region (same design, same photos, etc.), each one using:
    • a shipping profile with the correct origin (“dispatched from” + origin postcode/ZIP), and
    • shipping destinations limited to the region that listing is meant for (ex: the EU-dispatch listing ships to EU countries; the US-dispatch listing ships to the US/Canada; the UK-dispatch listing ships to the UK).
