What should I do if a buyer requests an Etsy refund for a damaged item after 30 days?

I sell physical items on Etsy, and a customer contacted me about a month after delivery saying their order arrived broken. They provided photos showing damage, but the timing and how it broke seems unusual, and it looks like it could be repaired.

My shop policies allow returns or exchanges within 14 days of delivery, but I don’t have a clear policy for items reported as damaged after delivery.

How should I handle a refund request this long after delivery, and what happens if the buyer opens an Etsy case within the buyer protection window?

Hi! If a buyer reports damage about 30 days after delivery, treat it like a customer-service issue first (even if it feels suspicious), but don’t jump straight to a full refund—offer a clear, reasonable resolution (repair help, replacement, or a return-for-refund) and keep everything in Etsy Messages so you’re protected if it turns into an Etsy case.

A good way to handle it (without setting a bad precedent) is:

  • Acknowledge + confirm details: Ask when they first noticed the damage and request photos of (1) the item, (2) the packaging, (3) the shipping label, and (4) any internal packing. This matters if it was shipping damage vs. post-delivery handling.
  • Offer options you’re comfortable with:
    • If it’s genuinely repairable, offer repair instructions and/or a partial refund for repair cost (only if you want to).
    • If you’d rather not negotiate: offer a replacement (often easiest if your margins allow) or a return for refund (you can say you’ll refund once it’s received back in the same condition as shown in the photos).
  • Be careful with “out of policy” wording: Your 14-day return policy can still apply for “changed mind” returns, but “arrived damaged” is different in Etsy’s world. You can politely say the report is outside your shop’s standard return window while still offering a solution.

What if they open an Etsy case (within the buyer protection/case window)?

If the buyer is still within Etsy’s eligible case timeframe, Etsy can step in on an “arrived damaged” claim and may refund the buyer. Etsy’s case eligibility is typically tied to the order’s estimated delivery date/window (Etsy usually shows the buyer a specific last day to open a case), so “30 days after delivery” may or may not still be inside that window depending on the order’s dates.

What happens next usually depends on whether the order qualifies for Etsy Purchase Protection:

  • If your order qualifies (on-time shipping, valid tracking where required, and you’re meeting Etsy’s customer service standards), Etsy may cover the refund cost under Purchase Protection rather than taking it from your shop funds.
  • If it doesn’t qualify, Etsy can still refund the buyer, but the money may come from your Payment account.

Two important practical notes:

  1. Etsy may refund without requiring a return in some cases, so if you want the item back, try to resolve it directly with the buyer before it escalates.
  2. If you do agree to a refund, it’s safest to refund through Etsy (not “off-platform”) and document the agreement in messages.

If you want, tell me: was the order shipped with tracking, and what were the estimated delivery dates shown on the receipt? I can help you choose the cleanest option (repair vs. replacement vs. return-for-refund) that minimizes your risk of losing both the money and the item.
