What should I do if an Etsy buyer gets refunded but keeps the item?

I sell small physical items on Etsy, and a customer asked to return a keychain because they said it was larger than expected. Etsy issued a refund, but it looks like the buyer still has the item and didn’t send it back.

How do I handle this situation on Etsy, and is there a way to require the item to be returned before a refund is finalized?

Hi! If Etsy already issued the refund (usually through a case), you generally can’t “undo” it or force a return after the fact—Etsy’s decision is typically final, and in some situations they’ll refund the buyer without requiring the item to be sent back.

What you should do now:

  • Message the buyer politely in Etsy Messages (keep it short and professional): let them know you see the refund was completed and ask whether they can either mail the keychain back or repurchase it (some buyers will do the right thing when asked).
  • If they agree to return it, send your return address and a simple deadline, and ask them to message you a photo of the receipt or tracking (if they use tracking).
  • If they ignore you or refuse, don’t harass them—just document everything (screenshots of the listing measurements/photos, their complaint, and the case outcome) and contact Etsy Support to report possible buyer abuse. Etsy won’t always recover the funds, but it’s still worth flagging.

As for your second question—can you require the item to be returned before a refund is finalized?
Yes when you’re the one issuing the refund (a normal return you handle directly). Set your shop return policy and your messaging to: “Refund is issued after the item is returned and received in original condition.” Then don’t send the refund until you have it back.

A few practical tweaks to prevent this happening again:

  • Tighten your return policy on your Etsy listings: clearly say you accept returns for “changed mind / size expectations” and that refund happens after return is received (and who pays return shipping).
  • Make sizing harder to misunderstand: add exact measurements in the first lines of the description, a photo showing scale (in-hand, next to a ruler/coin), and consider a “Size” variation buyers must select.
  • If a buyer threatens a case, offer a return in writing right away (“Happy to accept a return for refund once received”). Keeping it clear and polite in Messages helps if Etsy reviews the conversation.

If you tell me whether Etsy refunded from your payment account or it looks like it was covered by Etsy (Purchase Protection), I can suggest the best wording to send the buyer and what to say to Support.
