What should I do if Etsy postcard orders are stuck in transit for weeks?

I sell postcards on Etsy and ship them in a standard envelope. Lately I’ve had an order that’s taking weeks to arrive even though it’s a nearby destination, and the buyer is starting to ask for updates.

I’ve been communicating with the customer and they’ve been understanding so far, but I’m not sure what the best next step is when delivery delays are outside my control. Should I offer a replacement, a refund, or a discount code—and how do you set expectations for untracked letter mail delays?

Hi! If you shipped this postcard as true untracked letter mail, the most practical move is usually: give the buyer a clear “we’ll wait until X date” (a specific calendar date), then either send a free replacement or refund—because without tracking, you don’t really have a way to prove where it is, and Etsy will generally side with the buyer on a non-delivery claim.

A good way to handle this order right now

  1. Pick a firm cutoff date based on when you mailed it (for example, “If it hasn’t arrived by Monday, Sept 21, I’ll reship or refund—your choice.”). Specific dates calm buyers down more than “soon.”
  2. Offer a replacement first (if it’s inexpensive to remake). For postcards, reshipping is often cheaper than the time/stress of back-and-forth, and the buyer usually just wants the card.
  3. If they’d rather not wait, or they seem frustrated, refund promptly (and keep it polite). A discount code is nice, but it doesn’t solve the “I never got it” problem the way a replacement/refund does.

What to say (copy/paste message)
“Thanks so much for your patience. Because this was shipped by standard letter mail, it doesn’t include door-to-door tracking and occasional delays can happen even for nearby addresses. If it hasn’t arrived by [DATE], I’m happy to send a replacement right away or issue a full refund—just tell me which you’d prefer.”

How to set expectations going forward (so this happens less)

  • Make “standard envelope = untracked” super obvious in your Etsy listing, FAQ, and automated message (short and plain language).
  • Add a paid tracked upgrade at checkout for buyers who want certainty. (On Etsy, many postcard/sticker sellers use Etsy Shipping Labels for USPS letters/flats which include Pitney Bowes tracking, or they offer an upgrade to a package service with USPS tracking.)
  • Build your policy around your posted processing time + a “lost mail” window (don’t overpromise delivery dates you can’t control). Then stick to it consistently.

One important Etsy note: if a buyer opens a “not received” case, orders with tracking or an Etsy-purchased label are much easier to defend under Etsy’s protections. For untracked stamps/letter mail, you’re typically deciding between reshipping or refunding to keep the situation from escalating.

If you tell me (1) when you dropped it in the mail and (2) whether you used an Etsy label or a regular stamp, I can suggest a sensible cutoff date and the best option (replace vs refund) for this specific scenario.
