How do I help Etsy digital download buyers who say they never got the email?

I sell digital download files on Etsy, and I keep getting messages from customers saying they never received the download email or can’t find their files. I’ve noticed it happens a lot with guest checkout purchases, where buyers don’t seem to know how to access their order.

Right now I reply with a saved message linking to Etsy’s download instructions, but it still creates confusion and extra support work. Is there a better way to reduce these “no email / can’t download” messages (like clearer listing instructions, an automatic follow-up, or a different delivery method), especially for guest buyers?

Hi! This is super common with Etsy digital downloads—most of the time the files are available, but buyers are (1) using the Etsy app (which often won’t download digital files cleanly), (2) checked out as a guest and don’t realize the download is in their receipt email, or (3) are looking under the wrong email/account. The best way to reduce “no email / can’t download” messages is to put a very short, step-by-step “how to get your files” in 3 places buyers actually see: your first listing image, your listing description (top lines), and your Etsy “message to buyers for digital items.”

Here’s what works well (without changing your delivery method):

1) Put a “READ THIS FIRST” download instruction as your 1st listing photo
A lot of buyers never read descriptions. Make image #1 a simple graphic that says something like:

  • “Instant download (no physical item)”
  • “Download from a web browser (not the Etsy app)”
  • “Guest checkout? Your download link is in your Etsy receipt email—search your inbox for ‘Etsy’ and open the receipt.”

That one image alone usually cuts messages a lot.

2) Add a short “Download help” block at the very top of your Etsy listing description
Keep it to 4–6 lines max so it shows before the “read more” cut-off. For example:

  • “After purchase, download from a browser: Etsy.com → Your account → Purchases & Reviews → Download files”
  • “If you checked out as a guest: open your Etsy receipt email and use the ‘View your order’ / download link”
  • “If you don’t see the email: check Spam/Promotions and search your inbox for ‘transaction@etsy.com’ or ‘noreply@etsy.com’”

3) Use Etsy’s “Message to buyers for digital items” (this is the secret weapon)
Etsy has a specific post-checkout message area just for digital items (separate from your normal shop announcement). Put your “2-minute download steps” there. Buyers tend to notice this message right after purchase, which is exactly when confusion happens.

4) Add a 1-page “READ ME” PDF as one of the download files
Include a very simple page with:

  • where to download
  • app vs browser note
  • what software is needed (PDF viewer, Canva, etc.)
  • basic troubleshooting (try Chrome/Safari, different device)

This won’t help the people who truly can’t access any download yet, but it does reduce follow-up questions once they open the files.

5) Make your saved reply shorter and more “choose-your-path”
Instead of linking to Etsy instructions first, give them the fastest path based on how they purchased. Something like:

  • If you have an Etsy account: Etsy.com (web browser) → Purchases & Reviews → find this order → Download files.
  • If you checked out as a guest: please open the Etsy receipt email for this purchase and use the download link inside. Check Spam/Promotions too.

Then add one line: “If you tell me whether you used guest checkout or an Etsy account (and whether you’re on the app or a browser), I’ll point you to the exact spot.”

6) Only change delivery method if you truly want more manual work
Some sellers switch to “made to order” digital files so they can manually send the file in Etsy Messages after purchase, but that usually increases support workload and slows delivery. I’d only do that if you sell highly customized files anyway.

If you want, paste your current saved message here (remove any personal info) and I’ll rewrite it into a shorter “decision-tree” reply that tends to stop the back-and-forth in one message—especially for guest checkout buyers.
