Should I message an Etsy buyer if USPS tracking says “awaiting item” for days?

I run an Etsy shop selling physical items, and I dropped off an order at the post office shortly after it was purchased. The tracking still shows “USPS awaiting item,” so it looks like it may not have been scanned, and a missing mail request hasn’t produced any updates yet.

Should I proactively message the buyer to explain what’s happening, and if so, when should I offer a replacement or refund? Also, is it possible for a package to be delivered even if the tracking never updates?

Hi! Yes—if tracking has been stuck on “USPS awaiting item” for more than a couple business days, it’s usually worth messaging the buyer proactively. It reassures them you did ship it, sets expectations, and often prevents a “not received” message/case later.

A good, low-stress approach:

  • Message now (once you’ve noticed it’s been sitting for days). Keep it short, calm, and factual: you dropped it off, USPS hasn’t done the first scan yet, and you’re already following up.
  • Give a clear next check-in date (e.g., “I’ll check again on Friday and update you either way”), so the buyer doesn’t feel like they have to chase you.

Here’s a message you can copy/paste (edit the dates):
“Hi [Name]! Quick shipping update: I dropped your package off at USPS on [date], but the tracking is still showing ‘USPS awaiting item,’ which sometimes happens if the first scan is missed. I’ve already opened a request with USPS and I’m keeping an eye on it. If it doesn’t update by [day/date], I’ll message you again with next steps. Thanks so much for your patience!”

When to offer a replacement or refund
I’d base this on the Etsy estimated delivery window for the order (the latest date Etsy shows the buyer), not on the purchase date.

  • If it’s still within the estimated delivery window, I’d usually not jump straight to refund/replace—just communicate and keep investigating.
  • If it’s past the latest estimated delivery date and tracking still shows “awaiting item” for several more days, that’s when I’d offer options: replacement reship (if you can) or refund. If it’s a one-of-a-kind item, you can offer a refund (or ask if they’d prefer to wait a little longer—buyers vary).

If you have a drop-off receipt / acceptance receipt (or you shipped with an Etsy label that shows it was shipped on time), keep that—it's helpful for disputes and for Etsy Purchase Protection eligibility on qualifying orders. Missing acceptance scans are exactly why receipts matter.

Can it be delivered even if tracking never updates?
Yes, it’s possible. USPS sometimes misses the first scan (or multiple scans), and the first update can show up much later—occasionally not until “Out for Delivery” or even “Delivered.” It’s not common, but it happens enough that I wouldn’t assume it’s lost just because it’s stuck on “awaiting item” for a few days.

Quick prevention tip for next time (optional but helps a lot)
If you can, ask for an acceptance scan + receipt when you drop off, or use a scheduled pickup/scan form when you’re dropping multiple packages. That first scan is the single best thing you can do to avoid this situation.

If you tell me (1) how many days it’s been stuck and (2) whether you have a USPS acceptance receipt, I can suggest a more specific timeline for when I’d pivot from “wait and monitor” to “reship/refund.”
