Should I message an Etsy buyer if USPS tracking says “awaiting item” with no scans?

I run an Etsy shop shipping physical items, and one recent order shows USPS tracking as “awaiting item” even though I dropped the package off at the post office. There haven’t been any tracking scans since, and a missing mail request hasn’t changed anything yet.

Should I proactively message the buyer to explain what’s happening, and if so, what should I offer (replacement vs refund)? Also, is it possible for a package to be delivered even if tracking never updates?

Hi! Yes—I'd send a quick, calm Etsy message to the buyer now, just to set expectations and show you’re on top of it, but I wouldn’t jump straight to an immediate refund/replacement unless the buyer needs it urgently or it’s clearly past the expected delivery window.

A good approach is:

  • Explain the tracking glitch plainly: USPS sometimes misses the first “Acceptance” scan, so tracking can sit on “USPS Awaiting Item / Pre‑Shipment” even after you dropped it off.
  • Reassure + give a plan: Tell them you’ve already opened a USPS missing mail/search request (good), and that you’ll keep them updated.
  • Offer choices, but with timing: “If it hasn’t updated or arrived by ___, I can send a replacement or issue a refund—whichever you prefer.” (Pick a reasonable checkpoint based on how time-sensitive the order is and the normal USPS speed from your location.)

On replacement vs refund, here’s the safest seller-friendly way to think about it:

  • If the item is one-of-a-kind or expensive to remake: lean toward waiting a bit longer before replacing, because you could end up with both a replacement delivered and the original delivered later.
  • If it’s inexpensive/easy to remake and the buyer needs it by a certain date: offer a replacement after your chosen checkpoint.
  • If the buyer is anxious or it’s already late: offer a refund (or refund if they prefer), and you can always invite them to reorder if the original eventually turns up.

And yes—it is possible for a package to be delivered even if tracking never updates, or for the first scan to happen very late (sometimes the first real scan is at a sorting facility or even at delivery). It’s not “normal,” but it’s common enough that I wouldn’t assume the package is truly lost just because it’s stuck on “awaiting item.”

One tip for the future: when you drop off at the post office, try to get an acceptance receipt (or have them scan it at the counter). That first scan is what prevents this whole “USPS awaiting item” limbo and gives you much stronger proof it entered the mail stream.

If you tell me (1) how many days it’s been since drop-off and (2) whether this was an Etsy shipping label or one you bought elsewhere, I can suggest a good “wait until X date, then do Y” timeline and a message you can copy/paste.
