Why do my Etsy orders show USPS tracking stuck on "Accepted" after pickup?

I sell physical items on Etsy and ship with USPS using tracking. Lately, a few packages were picked up and the tracking updated to "Accepted," but they haven’t shown any other scans or movement for several days.

Is it common for USPS tracking to stay on "Accepted" for a while after pickup, and what steps should I take (or when should I open a USPS help request) if there are no further updates?

Hi! Yes—USPS tracking can genuinely sit on “Accepted / USPS in possession of item” for a few days after pickup, especially if the next facility misses an “Arrival/Departed” scan or the package moves in a container that doesn’t get individually scanned right away. It’s annoying, but it’s pretty common, and many of those packages will suddenly “catch up” with a scan closer to the destination.

If it’s been several business days with no new scans, here’s what I’d do (in this order):

  1. Double-check what “Accepted” actually was
  • If it says “USPS in possession of item” or “Accepted” with your ZIP code/date, that’s still a good sign (it means it was at least acknowledged).
  • If you only see “Shipping Label Created, USPS Awaiting Item” (not your case, but worth noting), that’s different—USPS may not have it yet.
  1. Contact your local post office that handled the pickup
Ask them to look up the tracking internally and confirm it cleared the unit. Sometimes they can see container/dispatch info that never shows on public tracking.

  2. Proactively message the buyer (short + calm)
Something like: “USPS shows the package was accepted at pickup, but scans can lag for a few days. I’m watching it and will update you as soon as USPS posts the next scan.”
This helps prevent an Etsy “where is my order?” situation from escalating.

  3. Open a USPS Help Request if there’s still no movement
If you’re at the point where it’s clearly not just a 1–2 day scan delay (i.e., it’s been multiple business days with zero additional updates), submitting a USPS Help Request is reasonable. It often triggers the destination/origin unit to actually go look.

  4. If it’s truly “missing,” file a Missing Mail Search
USPS’ Missing Mail system typically won’t let you submit a search until 7 days after the mailing date. That’s the right next step if Help Request/local post office doesn’t shake anything loose and tracking is still stuck.

A couple of practical tips to reduce this happening going forward (especially for Etsy orders):

  • If you hand off multiple packages, use a USPS SCAN form so you get one clean acceptance scan covering the batch.
  • Make sure labels are flat, not wrinkled, and not on seams/tape glare (bad barcodes = fewer scans).
  • For higher-value orders, consider counter drop-off with a receipt/acceptance scan when you can.

If you tell me the USPS service you’re using (Ground Advantage vs Priority, etc.) and roughly how many days it’s been since the “Accepted” scan, I can suggest the most reasonable “wait vs escalate” timing for your situation.
