Why won’t Etsy USPS letter labels show up on a SCAN form?

I sell small, lightweight items and recently switched to buying USPS letter postage through Etsy instead of using a third-party shipping tool.

When I try to create a USPS SCAN form in Etsy, I have SCAN forms enabled and I’m selecting the day’s orders, but Etsy shows a message like “no labels available” even though I’m not using any filters. I’m not sure if letter postage is supposed to be included on SCAN forms.

Should USPS letter labels purchased on Etsy appear on a SCAN form, and if not, what’s the best way to handle acceptance scans for these shipments?

Hi! No—USPS letter/flat labels bought on Etsy typically won’t populate into a USPS SCAN form, so the “no labels available” message is expected for those shipments. A SCAN form is meant for USPS packages that have standard USPS package tracking barcodes; Etsy’s letter/flat labels use a different kind of “tracking” (often only partial, and not the same as a normal USPS package scan), so they generally aren’t eligible to be included on a SCAN form.

What to do instead (if you want better acceptance proof)

  • If you truly need an acceptance scan: upgrade those orders to a package service (e.g., USPS Ground Advantage / Priority Mail, depending on size/weight). Those package labels should appear on a SCAN form and are much more consistent for acceptance scans.
  • If you want lightweight letter rates and can live without acceptance scans: treat these like regular lettermail. Drop them in a USPS collection box/slot, or hand them over at the counter. Just know you still may not get a reliable “Acceptance” event the way you would with a parcel label.
  • If you need “proof you mailed it” for certain orders: ask the post office about USPS options like a Certificate of Mailing (availability/fees can vary by location). This is usually the closest thing to proof-of-mailing for letters without switching to parcel service.

A practical tip: set buyer expectations in your Etsy listing (or an order message) that letter-rate shipments may not show an acceptance scan and may show limited/irregular tracking updates, even when everything is moving normally. If you tell me what you’re shipping (approx. size/thickness/weight), I can suggest when it’s worth upgrading to a parcel label versus staying with letter postage.
