What should I do if Etsy postcard orders are delayed for weeks in the mail?

I sell postcards on Etsy and ship them in a stamped envelope. One recent order has been in transit much longer than expected, even though it’s only going to a nearby state.

I’ve been messaging the buyer and they’ve been understanding, but I’m not sure what the best next step is when delivery delays are out of my control. Should I offer a replacement, a partial refund/discount, or wait longer before taking action, and how do you set expectations for these slow envelope shipments?

For stamped-envelope postcard orders, the “best next step” is usually: give it a little more time if the buyer’s still happy to wait, but set a clear cutoff date—and if it still hasn’t arrived by then, either replace or refund (your choice based on your margins). Since stamped letter mail has no true tracking or delivery confirmation, Etsy (and the buyer) can’t verify where it is, so dragging it out too long can turn an understanding buyer into a frustrated one.

Here’s a simple way to handle this order right now:

  • Message the buyer with a specific timeline: “If it hasn’t arrived by (date about 7–10 days from today), I’ll gladly send a free replacement or issue a full refund—your choice.”
  • If it’s a low-cost item, default to a replacement (it’s often the fastest way to keep the buyer happy). Ask them to confirm their address in Etsy Messages (don’t ask for anything private beyond “Is the address on the order still correct?”).
