What should I do if Etsy shipping tracking still says USPS hasn’t received my package?

I run an Etsy shop selling handmade items, and I dropped off a customer order at the post office in person about a week ago. The tracking still shows “USPS hasn’t received the item,” so it looks like it was never scanned.

If the package doesn’t end up delivering, what’s the best next step as the seller—should I file a missing mail claim with USPS, refund or remake the order, or have the buyer open a case through Etsy’s Purchase Protection?

Hi! If it’s been a full week and tracking still says “USPS hasn’t received the item,” treat it like a no-acceptance scan and start an investigation with USPS right away—because without that first scan, Etsy (and your buyer) will read it as “it may not have entered the mail stream,” and it can also affect whether Etsy Purchase Protection will cover you.

Here’s the cleanest seller playbook (in order):

  1. Check what proof you actually have
  • If you handed it to a clerk and got a receipt showing acceptance (or you have a SCAN form acceptance), that’s gold—keep it.
  • If you dropped it in a bin / left it on the counter, you may have no acceptance proof, which makes any claim/case harder.
  1. Go back to that post office ASAP (or call)
Ask them to look for it as a “missed acceptance scan” and have them check the back/holding area. Bring your receipt (if you have one) and the tracking number.

  2. Open a USPS “Help Request” / search process
USPS typically starts with a help request first, then escalates to a missing mail search if it still doesn’t turn up. Do this now—don’t wait until the buyer is upset.

  3. Message your buyer (keep it calm and proactive)
Tell them you dropped it off in person, the acceptance scan appears to be missing, and you’re already working with USPS. Give them a concrete timeline like: “If it doesn’t show movement by ___, I’ll ____ (reship or refund).” This helps your Etsy customer service metrics and reduces the odds of a case.

  4. Decide reship vs refund vs Etsy case (based on eligibility)

  • If the order is eligible for Etsy Purchase Protection (generally: shipped on time, tracking/label provided as required, you respond promptly, shop in good standing), then the best path is usually: buyer messages “Help with order” → if needed, buyer opens a case for non-delivery and Etsy may cover the refund (up to the program limit) instead of it coming out of your pocket.
  • If you do NOT have an acceptance scan and you’re not confident it qualifies for Purchase Protection, the most seller-safe move is usually to reship or refund yourself (whichever makes more business sense), because a case may be decided as “no proof it was mailed.”

Two practical tips for next time (so this doesn’t keep happening):

  • Always get an acceptance receipt (or have them scan a SCAN form) for your Etsy orders.
  • If you use pickups, hand it to the carrier and request a scan (or schedule pickups that generate a scan record where possible).

If you tell me one thing—did you buy the label on Etsy, and do you have a USPS acceptance receipt?—I can tell you which option (USPS claim vs replacement vs Etsy case) is most likely to protect you on this specific order.
